    Home Volunteers

September 19–21, 2025, we’re transforming Esbjerg into a true fantasy universe, and we need adventurous souls to help create the best possible festival experience for our guests.

Whether you’re a fantasy fan or just want to be part of a fantastic community, there’s a place for you! There are many ways to contribute, and you can choose the volunteer role that suits you best.

The main base is at Hovedbiblioteket, Nørregade 19, 6700 Esbjerg, but activities take place at various locations across the city.

What type of volunteer are you?

Runners

Runners are constantly on their feet, assisting with a variety of practical tasks. The main responsibility is moving around the city between the festival’s many venues to pick up and deliver items. As a runner, you play a key role in supporting operations across the entire festival.

Opsætningsholdet

The setup crew reports in on the Friday before the festival and helps the library staff prepare the venue. You don’t need to be super strong, but you do need to be mobile.

These shifts take place before the festival officially begins, so they are slightly longer than regular festival shifts.

Shift times: Friday, 19 September, from 9 AM – 2 PM or 2PM – 7 PM.

Tear-down Crew

The tear-down crew comes in once the festival ends on Sunday to help the library staff tidy up. You don’t need to be super strong, but you do need to be mobile.

This shift also takes place outside regular festival hours and is therefore a bit longer than others.

Shift time: Sunday, 21 September, from 4 PM – 9 PM.

Mascot

As the mascot, you’re the face of the festival and wear the costume of our very own dragon, Gnist. As Gnist, your role is to engage with the audience—wave, give hugs and high fives, and generally spread good vibes among the guests.

The costume is large and warm, so you’ll be paired with another volunteer. You take turns wearing the costume for 30 minutes at a time.

While one of you is in the costume, the other interacts with guests, hands out flyers, and helps create a fun atmosphere. After 30 minutes, you switch.

Team Leads

Team leaders have a broad overview of the festival and support the library’s volunteer coordinator in managing the volunteer effort. Team leaders are the first point of contact if other volunteers encounter issues or have questions. They carry a phone with a dedicated number for volunteer support.

Previous experience as a room steward or general helper is required for this role.

Helping Hands

Helping hands assist both inside and outside the Hovedbiblioteket. You help keep the venues, the convention area, and the marketplace clean and welcoming so that all guests have a great experience.

Tasks include emptying trash bins, restocking toilet paper, and light cleaning of restrooms.

Room Stewards

As a room steward, you’re responsible for the venue and the presentation taking place there. You let guests into the room and check that they’re wearing a wristband and have a seat ticket if required. Be aware that some venues are located outside Hovedbiblioteket.

You arrive 20 minutes before the presentation starts and stay about 10 minutes afterward to tidy up and ensure the room is in good condition.

Ticket Sellers

You greet guests with a smile as they arrive at the Fantasy Festival to either buy tickets or pick up their wristbands. You’re the first person guests meet, so it’s important that they feel warmly welcomed.

Many guests will have questions about the festival, so you should be familiar with the program and the layout of the venues. You're not expected to know everything by heart.

The mornings, especially Saturday, are very busy, but things usually quiet down in the afternoon.

There are several ticket stations. Most are near Hovedbiblioteket, but there will also be ticket sales at Torvet.

Festival Hosts

As a festival host, you walk around the city answering questions and helping guests find their way. You're proactive and friendly, and you approach anyone who looks interested. You know where the different locations are and carry a program so you can help guests figure out where and when the various talks and activities take place.

You’re not expected to know everything, but you should be familiar with the main events so you can inform guests and passersby about the festival.

Your area covers the space between Hovedbiblioteket and Esbjerg’s city center. It’s your job to move around, chat with people, and see if anyone needs directions or might not yet know about all the exciting events happening. A special focus is to promote Fantasy Quest Esbjerg, taking place at Torvet.

You’ll be given programs and flyers to hand out to guests and people passing by.

Merchandise Sellers

You're stationed inside the Hovedbiblioteket, next to the info desk, selling official Fantasy Festival merchandise. You're approachable, cheerful, and actively engage with people near the stand.

Merchandise is sold via MobilePay. You’re responsible for restocking items and keeping the stand neat and inviting at all times. A staff member will always be nearby at the stand or the info desk to assist if needed.

Practical Information for Volunteers

  • Free entry to Fantasy Festival 2025

  • Meal tickets for lunch on the days you volunteer

  • Accommodation at a nearby school

  • Breakfast packs on your volunteer days

  • That you can volunteer approximately 3 hours per day, preferably on both days

  • That you attend the info meeting on Saturday, September 20, from 9–10 AM at Hovedbiblioteket in Esbjerg

  • That you are 18 years or older. Though if you’re 16 and have relevant experience, we’d still love to hear from you

Fill out the application form no later than June 1, 2025.

In the form, you’ll be asked to list your preferred volunteer roles in order of priority. We’ll do our best to match your wishes, but cannot guarantee specific assignments.

If you’re a new volunteer, please include a short motivational statement explaining why you’d like to join us. If you’ve volunteered before, let us know what roles you’ve had and what you’d prefer this year.

You’ll receive confirmation once your application is received. Final responses will go out in late June, along with the shift schedules.

Ticket Sellers: Welcome guests with a smile, sell tickets, and hand out activity wristbands.

Merchandise Sellers: Work at the festival’s booth selling official merchandise.

Room Stewards: Ensure talks and presentations run smoothly and on time.

Helping Hands: Assist with a variety of practical tasks around the festival and market areas.

Festival Hosts: Roam the town and festival grounds answering questions and offering directions.

Runners: Move swiftly between locations assisting with various tasks as needed.

Setup Crew: Arrive on Friday before the festival to help with setup.

Tear-down Crew: Join us after the festival ends on Sunday to help with clean-up.

Mascot: If you love talking to people, giving high-fives, and hugs, you might be perfect for stepping into the role of our beloved mascot, the dragon Gnist.

Team Leaders: Coordinate and support other volunteers. Prior experience as a Room Steward or Helping Hand is required.
